How we handle your information.

This notice describes how ROAM Design Studio LLC and ROAM Builders Inc. ("ROAM") handle information submitted through roamdesignbuilders.com.

What we collect

Digital Playground access request: your name, email address, phone number, property address, the project types you select, and whether you need design and permit services, plus the page you submitted from and campaign attribution parameters if your visit carried them.
Contact form, portfolio request & Request for Qualification: your full name, organization or company (optional), whether you are a homeowner, developer, organization, or homeowner representative, email, phone, preferred contact method and best days/hours to reach you, the services you're interested in, and your message. A Contact form inquiry or portfolio request may also include your project city or neighborhood, and an inquiry may include the project type; a Request for Qualification also includes the project type and project street address, city, and ZIP code. We also record the page you submitted from, campaign attribution parameters (UTM tags) and the referring page if your visit carried them, the version of the privacy acknowledgement you accepted, and a one-way hash of your IP address used only to limit repeat submissions. This information is transferred to ROAM's project-management portal, where we review each request personally, respond to your inquiry, or, if approved, email you access to the requested portfolio or qualifications.
Collaborator application & contractor onboarding: your company name, contact name, email, phone, design and/or construction trade, business address, website, and message from the application; and — if approved and onboarded — your entity type, federal EIN, contractor license details, tax forms (W-9), insurance certificates, license bond documents, and electronic-signature records (including the signer's name, title, IP address, and timestamp). This information is transferred to ROAM's project-management portal, used to evaluate your company and administer insurance, tax, license, and contract compliance for project work, and retained for as long as legal and contractual obligations require. Access to onboarding data and documents is controlled by Portal roles and permissions. Your company’s private link also allows access to its own onboarding documents; keep it confidential.
Rebuild Roadmap: the Roadmap collects contact details, property information, planning answers, and separate optional email, SMS, and project-milestone measurement choices. Drafts are stored on ROAM’s system; this browser stores a private return token. Saving a draft does not enroll you in marketing. A submitted Roadmap is used to prepare your result and respond to your request.
We use Cloudflare Turnstile to prevent spam and Sentry for error monitoring. With your consent, PostHog may set analytics storage so we can understand site usage. The site also loads an OpenAI ad-measurement pixel on page load, independently of the analytics consent choice, and reports selected inquiry, Roadmap, and booking actions. Optional ad-measurement consent in the Roadmap concerns subsequent project-milestone reporting; it does not control this website pixel.

How we use it

Inquiry information is used to respond to you and is stored in ROAM's inquiry-management system. We do not sell your information. Submitting the contact form, a portfolio or qualification request, or a trade partner application does not enroll you in marketing messages.

Text messages

Subcontractors and consultants working on ROAM projects can sign up in ROAM's project portal for ROAM Site Updates text messages. We use the mobile number you give us only to send you those messages and to keep a record of your consent, as described in our text message terms. Message frequency varies. Message and data rates may apply. Reply STOP to any message to stop, or HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. We never sell or rent your mobile number or your text message opt-in data and consent, and we never share them with anyone for marketing. To deliver our texts, your number goes to our text message provider and the phone carriers, which also process it as their services require, such as for billing, security, fraud prevention and legal compliance.
